Job Responsibilities
Below are the main job requirements and responsibilities for the Officer, Labour Relations Budget and Administration.
1. Audits monthly statements of all detailed transactions (expenditures) for Head Office Labour Relations to detect variances, errors or omissions, and recommends adjustments / corrective action for improvement in target achievement.
2. Coordinates payments of all the Union / Association funds for all bargaining agents to ensure they are processed correctly and in a timely manner.
Payments included are for Child care, International Postal Fund, Service expansion, Education fund, Liaison Fund and International Communications Fund.
3. Manages office budget including accounting, and record keeping. Purchases office supplies and confirms receipt of goods through SAP.
Reviews all expense claims for LR and all negotiation team members for accuracy by adhering to the travel policy, and ensures expenses are coded to appropriate cost centre and / or internal order number.
Prepares reports for payment authorization and forwards to accounts payable for processing.
4. Maintains an information link with the appropriate corporate functions to ensure that administrative systems are known and applied (Human Resources.
Payroll, Accounts Payable, Training, Finance, Real Estate, Innovapost, etc.).
5. Manages both SharePoint sites for National Labour Relations as well as Field Industrial Relations and Negotiations, grants permissions and conducts weekly audits.
6. As Records Management Coordinator ensures ongoing organization of the LR file room and initiates review and disposal of dormant files (including grievances) based on retention period schedule.

7. Provides on-site logistics for all meetings to ensure a smooth and successful execution; this includes close communications with participants, coordinating and resolving all last minute changes or issues and follow up on new requirements.

9. Registers and schedules training and conferences for Labour Relations and Negotiation team members, attending management seminars, computer training and language training.
10. Provides on-going administrative support to Labour Relations and Negotiations teams. This includes managing security card accesses, creating pulse requests, staff moves, building maintenance requests, printing of Collective Agreements etc.
11. Undertakes and / or coordinates special projects as requested by the GM, LR and / or LR Directors.
Education
